How to Identify and Fill Knowledge Gaps During Tutoring Sessions

Identifying and addressing knowledge gaps in our clients’ education is a critical aspect of promoting successful learning and helping our clients reach their academic goals.

Starting with our initial academic assessments and diagnostic testing, we’re made aware of the areas of strengths and weaknesses that each of our clients has. From there, it’s our job to create a plan that addresses the holes in their knowledge and understanding

Every chance we have to reevaluate and chart our students’ progress is an opportunity to identify and address these gaps. When we can recognize those knowledge gaps, we can focus our efforts on filling them and building a stronger foundation for higher learning.

What is a Knowledge Gap?

Knowledge or learning gaps are often the result of incomplete understanding or missed learning opportunities in previous lessons. These gaps can significantly impact a student’s academic performance, cause voids in essential learning skills, and impair their performance on standardized tests like the ACT® and SAT®. 

To effectively address existing knowledge gaps and prevent new ones, it's essential to implement a targeted learning approach. This method identifies weak or missing areas and teaches concepts in a way that resonates with each student's unique learning style. By focusing on their specific weaknesses, students can build on their existing knowledge more effectively. Targeted teaching is crucial for successful test prep and enhances our client’s chances of achieving academic success.

Diagnosing the Learning Gaps

With every new client, you should conduct an initial academic assessment to get an idea of what the student knows and the subject areas in which they’re struggling. To accomplish this, one of the most reliable tools is a diagnostic test

Once your client completes a diagnostic test, you can generate a detailed, custom-branded score report that surfaces areas of strength and weakness and presents the information in a detailed, yet easy-to-understand format that can be shared with your students and their parents.

Once you’ve pinpointed the areas that need attention and the concepts that require targeted teaching, tutoring sessions should be tailored to focus on filling these knowledge gaps.

Filling in the Gaps

When it comes to filling knowledge gaps, a focused and incremental approach is best

Aim to provide just enough information to help your students grasp the concepts they find challenging—without overwhelming them with too much or extraneous information.

This also means you must avoid the common pitfall of re-teaching concepts that your client already understands (which can lead to frustration and disengagement) and focus on the information they need in order to grasp the weak or missing concept or idea.


Here are some effective strategies to consider:

1. Targeted Instruction: As previously noted, rather than overwhelming your clients with a comprehensive overview of a topic, focus on the specific subtopics where they are struggling. 

For instance, if a student struggles with quadratic equations, spend time reinforcing their understanding of factoring before moving on to solving equations.

2. Use of High-Impact Tutoring: Research shows that frequent and high-dosage tutoring—sessions three or more times per week—yields the best results in terms of learning outcomes. Short, intensive sessions that focus on specific gaps in education can lead to significant improvement.

3. Customized Learning Plans: Develop individualized learning plans for each client that prioritize their specific knowledge gaps with individualized goals. Set clear learning objectives and milestones to track their progress, and frequently adjust your test-prep and teaching plans as needed based on their academic progress and development.

4. Engaging Content: Utilize engaging materials and interactive techniques that resonate with your students. Placing a worksheet or workbook in front of them every week and having them copy notes is never going to work to fill in knowledge gaps. 

Try incorporating multimedia resources, practical and relative examples, and problem-solving activities that are relatable to help maintain their engagement and motivation.

You’ll notice that these four strategies are also effective for promoting long-term retention, and that’s intentional. Learning gaps often arise when concepts and materials fail to resonate with the learner and the learner easily forgets them. To assist your clients in bridging these knowledge gaps, it's essential to help them embed your lessons in their long-term memory.

Providing Support to Clients with Learning Differences

For students with learning differences, addressing knowledge gaps requires a very tailored approach with smaller, incremental steps in addition to appropriate lessons that match their unique learning styles.  It's also essential to understand the difference between accommodations and modifications. Here’s a quick recap:

  • Accommodations are adjustments that provide equal access to learning opportunities. These might include extra time on tests, alternative formats for assignments, or allowing the use of assistive technology.

  • Modifications involve altering the curriculum or expectations to meet the student's specific needs. This could mean simplifying tasks or providing alternative assignments that better align with their learning capabilities.

When working with your clients who require accommodations or modifications, it’s crucial to:

1. Review Individualized Education Plans (IEPs) or 504 Plans: (Always, always, always!) Familiarize yourself with the specific needs outlined in these documents. This understanding will guide your tutoring approach and ensure you’re providing the necessary support specified in these learning plans.

2. Implement Tailored Strategies: Break down all academic tasks into manageable steps and use scaffolding techniques to help students gradually build their confidence. Ensure that your lessons align with their learning goals while also allowing room for growth.

3. Foster a Supportive Environment: It’s really important to create a safe and encouraging space where your clients feel comfortable expressing their frustrations and difficulties. Encouraging open communication can help you adjust your methods to better suit their needs and help them feel more comfortable voicing their needs and concerns.

4. Build on Successes: Momentum matters. With students struggling with a lot of gaps to fill, consider fostering some early victories by targeting areas ripe for improvement that are the most easily achieved. Once they’re able to make some gains by closing smaller gaps, it can be a lot easier to motivate them to continue onward and face the tougher challenges.


Addressing knowledge gaps is essential for academic success. By understanding each of your client’s unique learning differences and academic needs and employing targeted strategies tailored to their educational goals, you can effectively help them fill in these knowledge gaps and improve their overall academic performance. Focus on what they need, recognize their progress (even the small wins!), and support them every step of the way—because every student can learn and grow with the right guidance.
